Client: Australian & New Zealand company that designs custom window furnishings for beautiful spaces.
About the role
We are looking for a detail-oriented and organised Custom Division Coordinator to join the team and support the full process of custom window furnishing projects. This role will provide hands-on exposure to the entire project lifecycle—from quoting and ordering through to scheduling and service calls.
The successful candidate will work closely with the internal team, suppliers, customers, and installers to ensure projects are quoted accurately, orders are processed efficiently, and jobs are scheduled and completed smoothly. Training will be provided on window furnishings and the company’s systems, including QuoteRite and Tracker.
Key Responsibilities
- Learn and develop knowledge of the company’s custom window furnishing products and processes.
- Learn and effectively use internal systems, including QuoteRite and Tracker.
- Work closely with the team to prepare and process project quotes.
- Prepare accurate order sheets based on approved quotes.
- Place and manage product orders with various suppliers.
- Assist with job scheduling and coordination.
- Liaise with suppliers, customers, and installers to coordinate project requirements and resolve queries.
- Review and verify supplier and installer invoices for accuracy.
- Assist with service calls, follow-ups, and customer requirements.
- Support the team across the full Custom Division, from initial quoting and ordering through to installation coordination and after-sales service.
- Maintain accurate records and ensure information is updated across relevant systems.
Requirements:
- Strong attention to detail and accuracy when handling quotes, orders, and invoices.
- Good organisational and time-management skills, with the ability to manage multiple projects and priorities.
- Strong communication and coordination skills when dealing with customers, suppliers, installers, and internal teams.
- Comfortable learning new products, processes, and computer systems.
- Good numerical and administrative skills, particularly when reviewing quotes, orders, and invoices.
- Ability to work collaboratively as part of a team while also managing tasks independently.
- A proactive and willing-to-learn attitude, particularly in developing knowledge of window furnishings and the Custom Division.
- Previous experience in administration, coordination, customer service, quoting, purchasing, or a similar role would be advantageous but is not essential.
Work Details:
- Work Schedule: Monday – Friday 6:30AM – 3:30PM
- Work Setup: Onsite in Salcedo Village, Makati City
